📢 Our Sign-In, Sign-Out & Collection PIN System

We want to provide a clear guide to our current PIN system for Holiday Camps and Wraparound Childcare.

Our PIN system is designed to make signing children in and out simple, secure and accurate, while ensuring we maintain clear records of who has collected each child.


🔐 Your Personal PIN

Each parent/account holder has a unique 4-character PIN linked to their account.

Your PIN may contain:

  • Numbers only – 1234

  • Letters only – ABCD

  • A combination of letters and numbers – 12CD

Your personal PIN is used for signing your child in and out and applies across your FUNDA bookings.

Please do not share your personal PIN with anyone else. If another person is collecting your child, they must be added as an approved collector and provided with their own unique Collector PIN.


👨‍👩‍👧 Collector PINs

If someone else is authorised to collect your child, you can add them as an approved collector on your FUNDA account.

Each approved collector will have their own unique PIN. This allows us to accurately record:

  • Who collected your child

  • The time your child was collected

  • Which authorised collector completed the collection

You can also remove collectors and manage their access through your account.

Please ensure that all people authorised to collect your child are listed on your account and have their own PIN. This is an important part of our safeguarding and collection procedures.


⏰ Timed PINs

Our system also allows you to create Timed PINs for temporary collection arrangements.

For example, if a friend or family member needs to collect your child on a particular day, you can provide them with a PIN that expires:

  • After 1 day

  • After 7 days

  • On a specific date

This means you do not need to share your own personal PIN or give someone permanent access to collect your child.


🛡️ Keeping Children Safe

Please remember that having a PIN does not replace our safeguarding checks.

Our staff will check the collection details against the information held on the system. If there is any discrepancy, staff may need to contact the parent/guardian to verify the collection before releasing the child.

For this reason, please never share your personal PIN with another person.


📧 Accident & Incident Reports

Accident, incident and other relevant notifications will be sent to parents via email through our system.

Please ensure the email address registered to your account is current and regularly checked.
